Start to Finish Events owns and manages some of Australia’s largest participation run/walk events and triathlons. Based in Port Melbourne, we have more than 20 years of experience and an excellent range of large scale participation events. Start to Finish is continually growing as it develops new events and expands its range of contacts.

Start to Finish is owned by The Dingoes Refrain Pty Ltd which also manages Sporting Spirit Personal Training and publishes the Australian and New Zealand edition of Runner’s World magazine.

Event Coordinator

An opportunity exists for an Event Coordinator to join Start to Finish Event Management to assist in the delivery of various run/walk events and triathlons.

Specific Duties
1. Assist the Event Managers in the management of Start to Finish owned and contracted events including: timelines, event logistics and event planning.
2. Obtain quotes, negotiate rates and secure suppliers that adhere to event budgets.
3. Assist in the compliance of all event permits: safety plans, risk management plans, traffic management plans, food safety plans, insurance, police and emergency services.
4. Assist with answering phones, data entry and administration duties.
5. Assist in the execution of the event advertising and promotional campaign including mailouts, database management and administration.
6. Responsible for managing casual on-day staff and volunteers for events. Including recruiting new staff and volunteers, developing staff and volunteer instructions, contacting and arranging on-day staff shifts and timetables, coordinating staff on event days, compiling and processing staff pay sheets, and completing post event pay sheet administration.
7. Manage event day set-up and pack-up.
8. Assist the Sponsorship Manager to ensure that all sponsors benefits are delivered.
9. Ensure that all equipment, infrastructure, signage and consumable products are maintained and restocked.
10. Assist the Sponsorship Manager to ensure that all sponsors product is delivered according to contract conditions and timelines.
11. Ensure the allocation, preparation and packing of all equipment, infrastructure and signage, ready for event day.
12. Ensure that all appropriate on-day documentation is prepared including: onday folders, contact lists, name tags, personnel/volunteer lists, event day running sheets, instructions and commentary.
13. Oversee event on-day logistics including: massage, on-day entertainment, food vendors and event service providers.
14. Produce post event statistical analysis of participant numbers and survey results.
15. Complete post event unpacking of equipment, restocking of consumables, document filing and age group medal mailouts.

Essential – Selection Criteria
• A high attention to detail.
• Excellent written communication skills with the ability to produce high quality written documents/reports.
• Strong verbal communication and presentation skills.
• Developed organisational skills, time management skills and attention to detail.
• Ability to work well under pressure.
• Competent computer skills – MS office.

Desirable – Selection Criteria
• Senior First Aid Certificate
• Manual Drivers Licence

Casual Event Staff

Casual event staff assist with the delivery of our run/walk events. Staff will be involved in a number of areas at the events including course marshals, post event giveaways, registration, clothing storage, drink stations and event set-up/breakdown. Shifts are for the duration of approximately 4-8 hours per event.

Days of work vary for each event (Friday, Saturday and Sunday). It includes a 5am start Sunday.

Reliability, flexibility and availability are essential.
